FREQUENTLY ASKED QUESTIONS

THE BASICS

WHO SHOULD ATTEND THE WORKSHOP?

The Workshop is open to all interested institutional representatives participating in the Master Property Program.

WHEN IS THE WORKSHOP?

The Workshop begins with breakfast at 7:30 a.m. on Thursday, March 3, and concludes at 12:30 p.m. on Friday, March 4. View the program for the full details. Plan to arrive on Wednesday, March 2. Unless you are the institutional representative attending the All Insured Members Meeting, there are no other formal Workshop activities on Wednesday.  

WHEN IS THE ALL INSURED MEMBERS MEETING?

If you are the institutional representative for the All Insured Members Meeting, this will take place on Wednesday, March 2, from 1:00 p.m.- 4:30 p.m. prior to the Workshop. Your local broker may attend with you. This meeting will be available for in-person and virtual attendees.

WHERE IS THE WORKSHOP HELD?

The Workshop and the All Insured Members Meeting will be held in-person at the Hilton at the Ballpark, 1 S Broadway, St. Louis, MO 63102. 

HOW MUCH IS IT? 

There is NO fee to attend the Workshop. A maximum of two nights at the hotel, per person, will also be covered (Wednesday and Thursday) for MHEC, NEBHE, and WICHE institutional participants. Should your circumstance require additional nights, please contact MHEC for approval. All attendees are responsible for booking their own hotel.   

WILL A VIRTUAL ATTENDEE OPTION BE AVAILABLE?

Unfortunately, at this time we are only offering the All Insured Members Meeting with a virtual option. The Workshop will be offered as in-person only.

ARE THERE ANY FEES TO REGISTER?

There are no registration fees for any MPP participating institution representative, MPP service providers, or speakers. For any MPP prospective institution representatives there is a $150 registration fee. 

HOW DO I KNOW WHAT TO SELECT DURING REGISTRATION?

View the program for the full details. Attendees are welcome to attend any session of their choosing. We do ask you to select your preferred sessions during registration. This will allow us to set the meeting rooms appropriately. There is a mix of sessions covering risk management, facilities, and emergency management and safety. 

WHAT REGISTRATION TYPE AM I?

Below is a description of each registration type. Select the one that fits you best. 

MPP Participating Institution:  An individual representing an institution that participates in the MHEC Master Property Program.

MPP Leadership: An individual on MHEC's Leadership Committee. A listing can be found here.

MPP Prospective Institution: An individual representing an institution that does not participate in the MHEC Master Property Program. (Please note there is a $150 registration fee for any individual within this category.)

Local Broker:  An individual working as a broker for an institution that participates in the MHEC Master Property Program.

Program Administration: An individual representing Marsh USA, Inc.

Service Providers: An individual representing BELFOR Property Restoration, BMS CAT, Inc., Crawford & Company, Duff & Phelps, Seam Group, or Zurich. 

Presenter: A presenter that does not fit within another category. 

Compact Staff: An individual representing MHEC, NEBHE, or  WICHE.

HOTEL

HOW DO I BOOK MY HOTEL ROOM?

If you need a hotel room, you will be required to book your own room. A booking link is available on the Hotel and Travel page, at the end of the registration, or within your registration confirmation email. 

CAN I CALL THE HOTEL TO RESERVE A ROOM, OR DO I HAVE TO USE THE BOOKING LINK?

You can definitely call the hotel to reserve a room. Call (314) 421-1776 and ask for the Midwestern Higher Education Compact (MHEC) Rate of $134.

IF I AM NOT A PARTICIPATING INSTITUTIONAL REPRESENTATIVE, CAN I STILL BOOK THE MHEC RATE?

Yes!! The group rate of $134 has been negotiated for all workshop participants regardless of their organization. Billing for non-institutional participants will be set up for individual pay. 

WILL THERE BE INTERNET IN MY GUESTROOM?

Yes! You will receive complimentary internet within your guests room when booking the MHEC group rate.   

WHEN DO I NEED TO RESERVE MY HOTEL ROOM BY?

All reservations need to be made no later than Thursday, February 10, 2020.

WHAT IF I MISS THE CUTOFF DATE TO RESERVE A ROOM?

WHAT ARE THE ROOM COSTS?

MHEC, NEBHE, and  WICHE will cover the hotel costs for institutional participants with a maximum two-night stay per person (Wednesday and Thursday). This includes the $134/night rate + any applicable self-parking charges and taxes. Should your circumstance require additional nights, please contact MHEC for approval. You will still be required to provide a credit card to confirm your hotel, however, your credit card will not be charged.

I NEED TO CANCEL MY HOTEL ROOM, WHAT DO I DO?

You are required to cancel your own hotel room. The hotel has a cancellation policy of 72 hour prior to your check in date. To cancel your room, either follow the link within your hotel confirmation email or call the hotel directly at (314) 421-1776. MHEC is not responsible for any cancellation or no-show charges and will charge accordingly. View the Cancellation Policy for more details. 

MEETING GUIDELINES

ARE YOU FOLLOWING CDC GUIDELINES?

Yes, we are following the CDC guidelines throughout the meeting. Please see our meeting guidelines for the full details. 

ARE MASKS REQUIRED?

The CDC recommends that unvaccinated individuals wear masks indoor public places. The CDC also recommends that fully vaccinated individuals wear masks indoors in public in areas of substantial or high COVID-19 transmission.  At this time, St. Louis, Missouri is currently an area of high transmission, so masks are recommended for all meeting participants.  In accordance with the City of St. Louis regulations, at this time, the city does require that all guests wear a mask indoors regardless of vaccination status.

AM I REQUIRED TO BE VACCINATED TO ATTEND?

We are not requiring vaccination to attend.  Per CDC guidance individuals who are fully vaccinated do not need to get tested or self-quarantine prior to travel. Individuals who are not fully vaccinated should get tested with a viral test 1-3 days before travel. In addition, the CDC also recommends for individuals who are not fully vaccinated to be tested 3-5 days after returning from travel, engage in social distancing and, in some cases, self-quarantine for a full 7 days after travel, even if you test negative at 3-5 days after travel

WILL SOCIAL DISTANCED SEATING BE IN PLACE?

Yes, MHEC will plan for social distancing in the meetings and meals as much as possible. 

OTHER

WILL THERE BE A MOBILE EVENT APP THIS YEAR?

Yes! We are excited to offer a mobile app, again, for this year's workshop. More details  to come as it gets closer to the event. 

WILL THERE STILL BE THE RAFFLE?

Yes! We are excited to be offering the raffle! You must be present to win.

WILL THERE BE A RECEPTION DURING THE WORKSHOP?  

Yes, join us on Thursday evening. There will be plenty to eat and drink, as well as time to network with your peers, the program administration, underwriters, engineering vendors, and staff.

ARE THERE TRAVEL SCHOLARSHIP AVAILABLE?

Unfortunately, we are unable to offer travel scholarships. 

WHAT IS THE ATTIRE FOR THIS WORKSHOP?

The workshop attire is business casual. Consider wearing your college or university attire to the sessions and Thursday evening event. Remember to pack appropriately to accommodate for temperature fluctuations in the meeting rooms.
